The Checklist
The checklist guides you through everything to check during an inspection. Each item is answered, and the answers produce an overall score and grade.
Working through items
Items are grouped into categories (such as hygiene, storage, or documentation). For each item you'll do one of the following, depending on its type:
- Pass / Fail — mark whether it meets the standard.
- Choose an option — pick the option that best describes what you saw.
- Write a note — type a short observation.
For any item you can usually add:
- Notes — extra detail.
- A photo — evidence.
- Corrective measures and a number of days to fix, when something needs putting right.
Critical items
Some items are marked critical. Failing a critical item is serious and can fail the whole inspection on its own, regardless of the overall score — these usually relate to significant hazards.
Score and grade
As you complete the checklist, the Portal works out an overall score and a grade (for example A, B, C, or Fail). You don't calculate anything yourself — just answer honestly and the result follows.
Working offline
If you lose internet on site:
- Keep answering as normal — your responses are saved on your device.
- When you're back online, they sync automatically.
- You can then finish and submit.
This means a weak signal never stops you from doing the inspection.
Finishing up
Once every required item is answered, return to the inspection to add your findings, sign, and submit. See Carrying Out an Inspection.
